AI & Data Policy
What each AI feature sends, where requests are processed, and how organizations control AI Features.
Last Updated: October 12, 2026
1. AI in Project Arc
Project Arc currently offers three optional AI-assisted features: Ask Arc answers about a project’s specifications, AI analysis of pasted meeting notes, and AI agenda suggestions. Each runs only when a user chooses it.
2. What Each Feature Sends
Only the information a feature needs is sent with a request:
- Ask Arc (specifications): the user’s question, the selected scope label and selected specification excerpts (section, article, page and clause text).
- AI meeting notes import: the pasted meeting notes and the meeting’s item identifiers and details (number, section and heading).
- AI agenda suggestions: candidate agenda item labels and details, and the project phase.
Results are shown to the user who asked. AI features do not take actions on their own; nothing is added to a project until a user confirms.
3. Where AI Requests Are Processed
AI-assisted requests are routed through Lovable’s AI gateway to an OpenAI model and may be processed in the United States.
Project Arc does not use Customer Data to train its own AI models. Providers may retain limited content or logs for service delivery, security, abuse prevention or legal compliance under their terms.
Project Arc does not promise that AI requests are processed only in a particular country, or that providers never retain or train on content, except where a binding provider commitment says so.
Project Arc remains accountable for personal information handled by its service providers. Information processed outside Canada may be subject to the laws of, and lawful access by authorities in, that jurisdiction.
4. Turning AI Features Off
Organization owners and administrators can turn the organization’s AI Features setting on or off. AI Features are off by default where no organization setting exists. When AI Features are off, Project Arc blocks every AI request on its servers and sends no customer content to Lovable AI or OpenAI; non-AI search and normal Project Arc functions remain available.
5. Review Every Result
AI-generated results may be inaccurate or incomplete.
- AI output requires human review before it is relied upon.
- AI does not replace professional judgment.
- AI output is not architectural, engineering, contractual, legal, accounting or financial advice.
6. Ownership of Your Data
Processing information using an AI feature does not transfer ownership of Customer Data to Project Arc.
7. Your Responsibility
Organizations remain responsible for deciding whether project information may appropriately be processed using AI, including under their contracts and confidentiality obligations, and for choosing whether AI Features are on.
8. Changes to This Policy
We will update this policy when AI features, providers or processing locations change. The “Last Updated” date identifies the current version.
